Join a remote-first team dedicated to developing innovative software that helps governments, legal professionals, publishers, and media organizations keep the public informed. As a Check Reconciliation Specialist, you will play a key role in ensuring accurate and efficient payment processing across financial systems. You will manage incoming check payments, match transactions to invoices, and investigate discrepancies to maintain reliable financial records. Working closely with Finance Operations and Customer Support, you will help resolve payment issues and improve the customer experience. This entry-level opportunity is ideal for a detail-oriented professional who enjoys structured work, problem-solving, and process improvement. You will also have the opportunity to take ownership of essential financial workflows and contribute to a growing, collaborative, fully remote organization.

Accountabilities

  • Process and match incoming check payments received through a bank lockbox against outstanding invoices in Stripe, ensuring accurate and timely payment allocation.

  • Reconcile daily deposits and payment batches, maintaining complete records and ensuring every check is accounted for correctly.

  • Investigate and resolve payment discrepancies, including short payments, overpayments, duplicate transactions, and misapplied funds.

  • Identify and process appropriate refunds or credits for overpayments and incorrect check amounts, following established procedures.

  • Collaborate with Customer Support to communicate payment issues, address customer inquiries, and manage complex cases or escalations.

  • Identify recurring reconciliation errors, investigate their root causes, and implement process improvements to reduce manual work and prevent future issues.

  • Document reconciliation workflows, payment-issue procedures, and standard operating practices to improve consistency and knowledge sharing.

  • Maintain accurate, organized, and audit-ready financial records while supporting month-end closing requirements.

  • Meet established performance targets, including matching incoming payments to invoices and resolving discrepancies within five business days.

Requirements

  • Demonstrated attention to detail, with the ability to identify discrepancies in payment amounts, dates, invoice references, and transaction records.

  • Comfort working with spreadsheets, invoicing systems, payment platforms, and financial data.

  • Strong organizational skills and a systematic approach to processing transactions, maintaining records, and managing reconciliation workflows.

  • Clear written communication skills, with the ability to coordinate professionally with customers and internal teams regarding payment questions and discrepancies.

  • Strong problem-solving skills and the ability to investigate errors, identify root causes, and implement practical solutions.

  • A proactive, process-driven mindset, with an interest in improving operational efficiency and preventing recurring issues.

  • Ability to work independently, take responsibility for assigned tasks, and collaborate effectively in a remote environment.

  • Preferred qualifications: Experience in accounts receivable, payment processing, or finance operations; familiarity with Stripe, invoice reconciliation, or lockbox payment processing; and experience documenting financial procedures or standard operating processes.

Benefits

  • Salary: $55,000–$60,000 annually, depending on experience.

  • Remote work: Fully remote position for candidates based in the United States.

  • Retirement: 401(k) plan with a company match.

  • Healthcare: Medical, dental, and vision insurance coverage.

  • Insurance protection: Life insurance and short-term and long-term disability coverage.

  • Time off: Flexible paid time off (PTO).

  • Professional development: Opportunities to develop expertise in payment reconciliation, financial operations, customer support, and process improvement.

  • Collaborative culture: Work alongside a remote-first team that values accountability, clear communication, continuous learning, and teamwork.

  • Meaningful impact: Contribute to reliable financial operations supporting a software platform that helps keep public information accessible to communities.
