This position is listed on behalf of a partner company, which manages all applications and next steps. Our partner is looking for a Development Operations Associate based in the United States.
Join a mission-driven organization dedicated to advancing social, racial, and economic justice through grassroots organizing and nationwide partnerships. In this role, you will support fundraising operations and help strengthen the systems that sustain impactful advocacy and community initiatives. You will maintain donor databases, oversee donation processing, and ensure accurate financial and fundraising records. Working closely with development, finance, communications, and data teams, you will contribute to donor engagement, grant management, and fundraising strategy. You will also help streamline internal processes, coordinate departmental activities, and ensure that essential operational tasks run smoothly. This opportunity is ideal for an organized, detail-oriented professional who values collaboration and wants to use their operational skills to support meaningful social change.
Accountabilities:
- Manage gift processing and revenue-tracking systems, ensuring timely, accurate, and compliant recording of online and offline donations, donor pledges, and acknowledgment letters.
- Maintain and optimize donor management systems, particularly Salesforce and EveryAction, by generating standard and customized reports, conducting regular data audits, resolving duplicate or incomplete records, and promoting consistent data entry practices.
- Serve as the first point of contact for donor inquiries, monitoring incoming calls and emails, responding professionally, providing assistance, and directing requests to the appropriate team members when necessary.
- Support donor cultivation and stewardship by maintaining accurate donor profiles, conducting biographical and prospect research, and documenting interactions, follow-up actions, and relationship-building opportunities.
- Coordinate development team operations, including maintaining grant deadlines, team calendars, shared folders, archives, meeting agendas, and action items.
- Assist with the planning and coordination of team retreats, internal meetings, departmental activities, and other development-related events.
- Prepare and submit renewal applications for charitable solicitation registrations and corporate registrations, ensuring compliance with applicable requirements and deadlines.
- Support grant-seeking activities by conducting funder research, preparing and submitting application materials, and assisting with funder briefings and other donor-facing initiatives.
- Collaborate with development colleagues and teams across finance, communications, data, and other functions to support fundraising priorities, maintain accurate information, and resolve operational challenges.
- Provide administrative and operational assistance for specific fundraising initiatives, helping ensure that projects remain organized and on schedule.
- Travel to partner organizations, affiliate locations, events, and in-person meetings as assigned, including staff and team retreats.
- Undertake additional responsibilities as needed to support the effective functioning of the development team.
Requirements:
- Relevant experience in development operations, fundraising administration, nonprofit operations, donor relations, database management, or a related field. Approximately five years of relevant experience is anticipated, but demonstrated ability to meet the role's needs will be prioritized over years of experience alone.
- Familiarity with Salesforce and EveryAction, including donor record management, reporting, data maintenance, and database administration, is highly desirable.
- Strong organizational and administrative skills, with demonstrated attention to detail in recordkeeping, documentation, calendar management, and data accuracy.
- Experience processing donations, tracking fundraising revenue, maintaining donor records, or supporting grant applications and institutional giving activities is an advantage.
- Excellent written and verbal communication skills, with the ability to interact professionally with individual donors, institutional funders, colleagues, board members, vendors, and members of the public.
- A customer-service-oriented approach, with the ability to respond to inquiries promptly, handle requests thoughtfully, and escalate sensitive or complex matters appropriately.
- Proven ability to manage multiple projects, competing priorities, and deadlines while maintaining accuracy and consistency.
- Strong problem-solving skills and the ability to identify data discrepancies, improve administrative workflows, and resolve operational issues collaboratively.
- Ability to work effectively across departments, communicate with diverse stakeholders, and contribute to shared organizational goals.
- Experience conducting prospect or funder research, preparing grant materials, and supporting donor cultivation or stewardship is beneficial.
- A demonstrated commitment to social, racial, and economic justice, along with an understanding of the challenges affecting low-wage workers, immigrant communities, communities of color, people with disabilities, LGBTQ+ communities, and individuals with intersecting identities.
- Willingness to travel occasionally for organizational meetings, affiliate visits, events, and retreats.
- Work arrangement: Remote across the United States. Candidates located near the Washington, DC office may be asked to work onsite one or two days per week when needed. Candidates based elsewhere may be required to travel to the office occasionally.
- Employment classification: Full-time, non-exempt position covered by a collective bargaining agreement (CBA).
Benefits:
- Competitive starting salary: $65,000 annually, with potential increases up to $75,000 based on the salary calculation system and criteria established by the collective bargaining agreement.
- Collective bargaining representation: Employment terms governed by a collective bargaining agreement represented by the Washington-Baltimore News Guild.
- Comprehensive healthcare: Medical, dental, and vision insurance coverage.
- Retirement savings: Employer contributions to employees' 401(k) plans.
- Paid vacation: 15 vacation days during the first year of employment.
- Paid sick leave: 12 sick days per year.
- Additional paid time off: Extra PTO, including holidays.
- Remote work flexibility: The opportunity to work remotely from locations across the United States, subject to occasional in-person requirements.
- Mission-driven environment: The opportunity to support fundraising efforts that advance social, racial, and economic justice and strengthen community-based organizations.
