Our team is committed to enhancing physician and patient quality of life through Elation, a SaaS cloud-based clinical platform. Since inception, we've been focused on building a world-class technology solution that creates an experience of delight and ease for physicians, and that our users love.
Every signed customer agreement at Elation passes through a final review before billing and onboarding begin. That review confirms what the customer signed matches what we set up in Salesforce: the right products, quantities, prices, and dates. When it's done well, customers get billed correctly from day one and our finance and customer success teams avoid costly cleanup later. We are looking for a Contract Operations Associate to join our Business Systems Team on a contract basis and own a share of these reviews. You'll work from clear checklists and procedures, use AI-assisted review tools, and partner closely with the specialists who own this process. This is a great fit for someone early in their career who is detail oriented, enjoys getting things exactly right, and wants hands-on exposure to how a SaaS company runs its revenue operations.
What You'll Do
Contract Review & Verification
- Own a daily review queue of signed deals awaiting final approval, starting with new customer agreements, downgrades, and simple add-ons (adding a product or seats), then expanding to renewals and other deal types as you ramp.
- Confirm the signed order form is complete: both the customer and Elation have signed and dated it, and you identify the official execution date.
- Check that key dates line up across the order form, the Salesforce opportunity, and the quote (execution date, close date, and contract start date), and that add-ons end on the same date as the customer's existing contract.
- Reconcile the quote against the order form line by line: products, quantities, terms, unit prices, and totals, including confirming that unchanged products and removed products are recorded correctly.
- Verify approvals and required data: discounts have a documented approval, required fields are filled in, and the customer account is a real, active practice rather than a trial.
- Correct routine issues directly in Salesforce (e.g., date fields or account details) when the procedure allows it, then advance the deal to Closed Won.
- Confirm downstream handoffs fired after approval, such as the customer's billing record and onboarding project being created, and flag anything that didn't.
Partnering with Sales & Customer Success on Corrections
- Return deals that need fixing to the account executive or customer success manager who owns them, with a clear, specific note: what doesn't match, where you found it (order form page, quote line, field), and what correct looks like.
- Follow corrections through to completion: track returned deals, check that the fix is right when they come back, and re-review promptly so customers aren't left waiting on billing or onboarding.
- Prioritize with deal owners during busy periods like month end, communicating which deals are blocked and what's needed to close them on time.
- Spot repeat issues by rep, team, or deal type and share them with the team, so we can improve training, Salesforce guardrails, and error messages and prevent the same mistake next time.
Resolving Open Questions with Stakeholders
- Bring questions to the right person with full context: the deal link, what you checked, what's unclear, and your best guess at the answer. Start with the team's operations specialist, then partner with Deal Desk, Customer Success leadership, Finance (billing and revenue reporting), or Salesforce administrators as directed.
- Escalate anything outside the checklist rather than making judgment calls on your own, such as contract exceptions, non-standard discounts, unusual date requests, or large and custom agreements.
- Track every open question until it's resolved, keeping the deal owner updated so nothing stalls silently in the queue.
- Capture the answer once a question is settled, adding it to the procedure or FAQ so the next reviewer doesn't have to ask again.
Tools, Documentation & Continuous Improvement
- Run AI-assisted review tools first on each deal, then complete the manual checklist and confirm or correct the tool's results; your corrections help improve the automation.
- Log issues and root causes in our ticketing system for any deal that didn't pass cleanly.
- Flag gaps or confusing steps in our procedures; your feedback directly shapes the documentation and training for future reviewers.
What You Bring
- Attention to detail: you notice when two documents don't match, and you double-check before calling something done.
- Process discipline: comfortable following a checklist exactly, every time, and keeping clean records of your work.
- Clear, proactive communication: you ask questions early, write concise notes, and are comfortable working in Slack with a distributed team.
- Collaborative and tactful: comfortable telling a sales rep or customer success manager their paperwork needs a fix, clearly and kindly, and working with them to get it right.
- Follow-through: you keep track of open items and nudge politely until they're resolved.
- Sound judgment about your limits: you recognize when something is unusual and escalate rather than guess.
- Eagerness to learn: open to feedback and quick to pick up new systems and terminology.
- Comfort with AI tools: willing to use AI-assisted tools as part of daily work and to verify their output.
Nice to Have
- Exposure to Salesforce or another CRM.
- Familiarity with contracts, order forms, invoicing, or billing.
- Prior experience in an operations, finance, or administrative role, or in a SaaS environment.
- Coursework or interest in business, finance, accounting, or operations.
- No prior Salesforce or revenue operations experience is required; we'll train you on our systems and procedures.
Engagement Details
- Type: Contract
- Hours: Part-time
- Location: Remote
- Reports to: Senior Director, Technical operations with day-to-day direction from the team's AI Operations Specialist
- Compensation: $30/hr
Why This Role Matters
Contract reviews are the last checkpoint before a customer's billing and onboarding begin. By keeping this work accurate and on time, you protect the customer experience, reduce downstream cleanup for finance and customer success, and free up our specialists to build the automation and documentation that will make this process faster for everyone. That lets our teams spend more energy on what matters most: helping clinicians deliver excellent care.
