About the team:
About the role: Yes — then the role should be positioned as Global Benefits Operations, not Europe-focused. I would change the scope throughout the JD to explicitly cover EMEA, North America, APAC and Africa.
Revised Purpose of Role
The Junior Manager – Global Benefits Operations will be responsible for the effective delivery, governance and continuous improvement of employee benefits administration across EMEA, North America (NAM), APAC and Africa.
The role will manage critical benefits operations including benefits enrolment, annual enrolment, vendor management, Purchase Order creation and management, invoice validation and reconciliation, benefits reporting, employee query management and operational controls.
Working closely with Global Reward, Payroll, HR, Finance, Procurement and external benefit providers, the role will ensure employees are enrolled accurately and on time, vendors deliver against agreed service levels, and benefit-related financial transactions are appropriately controlled and reconciled.
A key objective will be to standardise and simplify benefits processes across regions, while recognising market-specific regulatory, vendor and operational requirements.
Core Accountabilities
- Benefits Enrolment: Manage and govern employee benefits enrolment across EMEA, NAM, APAC and Africa, including new joiners, life events, benefit changes and leavers.
- Annual Enrolment: Coordinate end-to-end annual enrolment activities across applicable markets, including planning, vendor readiness, employee data validation, communications, enrolment monitoring, issue resolution and post-enrolment reconciliation.
- Vendor Management: Manage operational relationships with global and local benefit providers, including SLA/KPI monitoring, issue resolution, service reviews, escalations and continuous improvement.
- PO Management: Coordinate Purchase Order creation, amendments, extensions and funding requirements for benefit vendors, ensuring appropriate financial governance and timely availability of POs.
- Invoice Management & Reconciliation: Validate vendor invoices against employee eligibility, enrolment records, contractual rates and POs, resolve discrepancies and ensure timely payment.
- Financial Controls & Governance: Perform required CARM controls, reconciliations and governance activities, ensuring appropriate evidence and timely resolution of exceptions.
- Data & Reporting: Reconcile benefit data across Workday, payroll, vendor platforms and financial records, and deliver accurate operational and management reporting.
- Employee Experience: Ensure benefits queries are resolved accurately and within SLA and that employees receive clear communications relating to eligibility, enrolment and benefit changes.
- Process Governance: Maintain and regularly update Work Instructions, process maps, Benefits Matrices, Benefit Guides, Factsheets and FAQs across markets.
- Continuous Improvement: Identify opportunities to simplify, standardise and automate benefits administration and reduce manual intervention, errors and employee queries.
- Stakeholder Management: Partner effectively with Reward, Payroll, HR, Finance, Procurement and external vendors across multiple regions, markets and time zones.
Experience Required
I would make the essential experience more specific:
Strong hands-on experience in Benefits Operations, preferably supporting multiple countries or regions, with demonstrated experience in benefits enrolment and annual enrolment, vendor management, Purchase Order management, invoice validation/reconciliation and employee benefits administration.
Candidates should also demonstrate experience working across multiple regions/time zones, ideally including exposure to EMEA, NAM, APAC and/or Africa, and be comfortable managing both global vendors and market-specific providers.
Strong experience with Workday, Excel, benefits data reconciliation, operational controls, reporting and process documentation should be preferred. The role requires strong stakeholder management, analytical capability, attention to detail and the ability to independently drive operational issues through to closure.
