Company Description

Circle Logistics is a privately held third-party logistics company built on three commitments to our customers: reliable service, personalized communication, and innovative solutions. Over 15 years, Circle has grown to more than 900 employees and is approaching $1 billion in annual revenue, moving truckload, flatbed, tanker, expedited, and specialized freight across the United States, Mexico, and Canada.

Our standard is No Fail Service, built for shippers who cannot afford a missed or late load. That standard depends on accurate, connected data, and that is where this role comes in.

Job Description

HubSpot is the system our sales, carrier, and marketing teams run on every day. We are hiring a dedicated CRM Administrator whose sole focus is building out, managing, and improving our enterprise HubSpot portal.

This is not a ticket-taking role. We want someone who looks at a request and sees the bigger picture: the duplicate records it might create, the report it might break, or the better process that would make the request unnecessary. You will own the build, keep the data clean, and bring us ideas before we ask for them.

Qualifications

Properties and Data Architecture

  • Design, build, and maintain properties across contacts, companies, deals, and custom objects, including standard, calculated, smart (AI-filled), and conditional properties.

  • Set naming conventions, field definitions, and property groups so data stays consistent as the portal grows.

Workflows and Automation

  • Build, test, and maintain workflows for lead routing, lifecycle stages, lead status, scoring, notifications, and data updates.

  • Use custom code actions (Python) when native workflow actions fall short.

  • Audit existing automation on a regular schedule to remove conflicts, redundancies, and workflows that no longer serve a purpose.

Integrations and API

  • Build and maintain integrations between HubSpot and the rest of our stack, including data enrichment tools such as ZoomInfo, operational systems, and internal databases.

  • Work with HubSpot's APIs and webhooks to move data in and out of the CRM.

  • Troubleshoot sync errors, field-mapping issues, and failed jobs, and keep integration documentation current.

Data Enrichment and Management

  • Own data quality: deduplication, normalization, imports, exports, and routine cleanup.

  • Run enrichment programs that fill gaps in company and contact records, such as industry, company size, revenue, and key contacts.

  • Build views, lists, and reports that surface data problems before they affect sales or marketing.

Reporting and Analytics

  • Build and maintain reports and dashboards for sales, carrier, and marketing teams, covering pipeline, lead progression, activity, and campaign performance.

  • Track CRM health stats such as record completeness, duplicate rates, workflow errors, and user adoption.

  • Turn requests from leaders into reports that answer the real question, and explain what the numbers show.

  • Make sure the data underneath every dashboard is accurate before it reaches leadership.

User Account Management

  • Manage users, teams, seats, roles, and permission sets as people join, change roles, or leave.

  • Run regular access reviews and keep security settings aligned with company standards.

  • Serve as the first stop for HubSpot questions: troubleshoot issues, train users on new builds, and write simple how-to guides.

Continuous Improvement

  • Look for friction in how teams use HubSpot and propose fixes, with the trade-offs explained.

  • Stay current on HubSpot releases, including Breeze AI features, and recommend which ones are worth adopting.

  • Flag the downstream impact of a change before it ships, not after.

WHAT YOU BRING

Required

  • At least 1 year of hands-on experience administering, configuring, or supporting a CRM (HubSpot, Salesforce, Zoho, Microsoft Dynamics, Pipedrive, or similar).

  • A working understanding of CRM fundamentals: objects and records, properties or fields, associations, pipelines, and lifecycle stages.

  • Experience building or maintaining automation, such as workflows, sequences, or rules.

  • Comfort working with data: imports, exports, deduplication, and cleanup in Excel or Google Sheets.

  • Experience building CRM reports and dashboards, and explaining what the stats mean.

  • A basic understanding of how APIs and integrations connect systems.

  • Strong attention to detail and the discipline to test before you publish.

  • Advanced English, written and spoken. This role works daily with US-based teams.

  • Availability to work US Eastern Time business hours.

Strongly Preferred

  • Hands-on HubSpot administration experience, ideally in a Professional or Enterprise portal.

  • HubSpot Academy certifications (such as Sales Hub or Marketing Hub Software) or a Salesforce Administrator certification.

Nice to Have

  • Python or JavaScript, especially for HubSpot custom code actions or scripted data jobs.

  • Experience with REST APIs, webhooks, Postman, or integration platforms such as Zapier, Make, or Workato.

  • Experience with smart properties, calculated properties, or conditional property logic in HubSpot.

  • Experience with HubSpot's custom report builder, datasets, or attribution reporting.

  • Experience with enrichment tools such as ZoomInfo, Apollo, or Breeze Intelligence.

  • SQL or general database knowledge.
