Responsibilities

The Commercial Operations Associate provides administrative and logistical support across the Commercial Operations department, with primary focus on congress and event logistics, marketing materials inventory and fulfillment, system administrative support for the Legal, Medical, and Regulatory (LMR) review process, and document administration in Veeva PromoMats.

This role works closely with the LMR Review Coordinator, the Manager, Field Operations, and the Senior Manager, Commercial Operations, as well as Marketing, Medical Affairs, Market Access, Finance, and external vendors. By owning the administrative and logistical execution of these programs, the Associate allows department leaders to focus on governance, strategy, and commercial readiness.

The ideal candidate is highly organized, detail-oriented, and service-minded, and is able to manage multiple deadlines in a fast-paced, regulated environment.

Key Responsibilities

Congress & Event Logistics and Planning

  • Maintain the annual medical congress and event calendar, including exhibitor registration, booth space, housing, abstract, and badge deadlines.
  • Coordinate booth reservations, exhibitor registration, badge requests, housing blocks, and meeting room bookings.
  • Serve as day-to-day contact for exhibit houses, decorators, shipping vendors, and venues; manage shipping, setup, teardown, and storage of exhibit properties.
  • Partner with the LMR Review Coordinator to confirm all booth and congress materials have completed LMR approval before production and shipment.
  • Coordinate booth staffing schedules, attendee communications, and pre-event logistics briefings.
  • Support the Manager, Field Operations with logistics for National, Regional, and Advisory Board meetings as needed.
  • Track event budgets, purchase orders, and invoices; complete post-event reconciliations and summary reports.
  • Capture event-related HCP spend data required for transparency reporting, in coordination with Compliance.

Marketing Materials Inventory & Fulfillment

  • Manage the physical and digital inventory of LMR-approved promotional and non-promotional materials.
  • Manage print ordering, warehousing, and fulfillment with print and fulfillment vendors.
  • Process field material requests and coordinate distribution to Medical Affairs, Market Access, and future Commercial field teams.
  • Execute material withdrawals and documented destruction of expired or retired materials, based on expiration schedules maintained by the LMR Review Coordinator.
  • Maintain an up-to-date material catalog so internal teams and field personnel can locate current approved versions.
  • Monitor inventory levels and reorder prints; report usage trends.

LMR Review Support

  • Schedule LMR review meetings and review committee sessions; prepare and distribute agendas and review packets within established timelines.
  • Maintain the LMR submission tracker and send reminders on outstanding reviewer comments and approvals.

  • Support version control and the audit trail for materials moving through review.
  • Retrieve review records and approval documentation to support internal audits and compliance reviews.

This role provides support to the LMR process. Review coordination and governance remain with the LMR Review Coordinator, and content and compliance decisions remain with designated Legal, Medical, and Regulatory reviewers.
