About the role
As a Senior Plan Administrator, Plan Administration Lead, you’ll be responsible for the workflow, execution, and quality of plan administration work across retirement plans being served by Aboon.
You’ll be responsible for ensuring that the plan administration team delivers consistently high-quality work, client deliverables are peer-reviewed, and plan administrators receive timely support on escalated matters — while continually improving the systems the team relies on and actively identifying opportunities for automation.
What you’ll do
Workflow and Work Product
Own execution of plan administration workflows, including data collection, annual contributions, compliance testing, government filings, and distributions
Sequence and prioritize work across the annual cycle so peak periods do not compromise quality
Monitor workload distribution and turnaround expectations, flagging capacity constraints to leadership
Monitor service level agreements (SLA) for plan administration work and identify solutions when service standards are not met
Serve as the primary escalation point for complex administrative, compliance, and client service issues
Peer Review and Quality Assurance
Review and validate work completed by internal team members for accuracy, completeness, and consistency with internal standards
Maintain peer review standards and apply them consistently across the team
Review contribution calculations, compliance testing, Forms 5500, 5330, and 8955-SSA for accuracy and adherence to regulatory, plan document, and operational requirements
Communicate errors, inconsistencies, and compliance concerns clearly to team members, guide resolution of required corrections, and ensure review findings and supporting work are appropriately documented
Identify error patterns and address the underlying process rather than the individual instances
Process and Documentation
Continuously evaluate and improve operational processes, identifying opportunities for greater efficiency and scale
Maintain internal procedures and training resources, working with team members to keep documentation current as processes change
Draft and review template and custom client communications
Actively apply technology and AI to execution and delivery of plan administration services
Partner with the Manager, Plan Administration to develop training and incorporate process changes into team resources
Monitor client satisfaction metrics and recommend improvements to services based on feedback
Technical Escalation
Oversee non-routine engagements, including regulatory audits, the plan administration workload generated by plan corrections, contribution projections, and specialized reporting
Review domestic relations orders (DROs) for compliance with plan requirements and oversee QDRO processing
Support Relationship Managers in consulting with clients on plan administration requirements, plan provisions and complex administrative matters
Cross-Functional Partnership
Work alongside the 3(16) Services Lead and Onboarding Lead to keep standards, handoffs, and documentation consistent across teams
Partner with Plan Consultants and Relationship Managers to coordinate plan administration work and support timely, accurate client service
Act as the primary Plan Administration contact for recordkeepers and other external parties, proactively addressing process or system changes and driving timely resolution of issues
Stay current on industry updates, regulatory changes, and internal initiatives, evaluate their impact on plans and plan administration services, and help determine how changes should be implemented

What you bring
Required
7-10 years of experience in defined contribution plan administration
Deep working knowledge of defined contribution plan administration and 3(16) services, including applicable IRS and DOL requirements
Demonstrated experience leading a team and supporting team development
Experience developing or improving operational processes and quality standards
Hands-on experience reviewing compliance testing, contribution calculations, and Forms 5500, 5330, and 8955-SSA
Experience creating documentation, process guides, or training materials
Strong written and verbal communication, with the ability to give clear, actionable feedback on work product
Comfort handling sensitive information with professionalism and discretion
Proficiency in Google Workspace and task and project management software
Nice to have
Familiarity with ftwilliam and the servicing modules of major recordkeeping platforms
Hands-on experience with ChatGPT, Claude, Copilot, or similar AI tools in day-to-day work
Pursuing advanced ASPPA designations such as QKC, QPA, or CPC
Hiring process
This role includes a 401(k)-specific Excel assessment to establish a baseline understanding of each candidate’s current skills. It is not pass/fail; it helps us assess Excel proficiency and plan knowledge and identify where training may be most useful.
What we offer
Compensation
The base salary range for this role is $100,000-$115,000, depending on experience, skills, and location. Total compensation also includes an annual bonus and equity.

Location
Remote, though we encourage in-person attendance at 1-2 company retreats per year. This role is open to candidates based in the US. Work authorization required; no visa sponsorship.
