About the role
The Associate Plan Administrator, 3(16) Services supports the administrative fiduciary functions served by Aboon, working alongside a dedicated Relationship Manager and 3(16) Services Lead.
Success in this role means ensuring that participants are enrolled on time, contributions remitted accurately, notices delivered within regulatory timeframes, distributions and loans reviewed timely, and issues identified and addressed before they become larger problems — while actively identifying opportunities for automation.
What you’ll do
Eligibility and Enrollment
Review employee data and plan provisions to determine eligibility for plan participation
Coordinate timely eligibility notification and enrollment of newly eligible participants
Assist with monitoring and tracking of automatic enrollment and annual automatic deferral rate escalation
Payroll and Contribution Monitoring
Review payroll contribution and loan repayment remittance for accuracy and timeliness
Confirm employer contributions are calculated and funded in accordance with plan document provisions
Partner with Relationship Managers to resolve contribution issues and facilitate processing of employer contributions
Distributions and Participant Transactions
Review and approve distribution and loan requests for eligibility, completeness, and compliance with plan provisions, escalating non-routine cases to the 3(16) Services Lead
Monitor terminated participant accounts, provide required notifications, and coordinate accurate and timely processing of force-out and required minimum distributions
Communicate directly with employers and recordkeepers regarding loan and distribution requests, available options, additional information needed, and approval or denial of requests
Notices and Fiduciary Compliance
Coordinate delivery of required participant notices and disclosures within applicable IRS and DOL timeframes
Research plan-related issues and corrective measures, and coordinate and document approved corrections with internal teams and recordkeepers
Audit Support and Coordination
Support auditors on large plan audits by gathering requested reports and transaction detail
Collaborate with plan sponsors, financial advisors, Relationship Managers, and Plan Administration team to ensure required plan activities are completed timely
Document client interactions, plan data and actions taken in client folders and task management systems
Process Improvement
Support the Plan Administration team and Relationship Managers in developing processes and implementing best practices to consistently meet service level agreements (SLAs)
Identify opportunities to solve problems, improve efficiency, and strengthen 3(16) Services processes, including with AI
Coordinate with our Engineering team to streamline and automate repetitive work with AI
Continuous Learning
Stay current on industry updates, regulatory changes, and internal initiatives and understand their impact on plans, clients, participants, financial advisors and recordkeepers

What you bring
Required
Minimum 2 years of current experience in the retirement plan industry
Working knowledge of qualified defined contribution plan administration, including applicable IRS and DOL requirements
Ability to read and interpret plan documents for eligibility determination, contribution requirements, and distribution options
Excellent written and verbal communication skills
Strong organizational skills and the ability to manage multiple plans in a fast-paced environment
Proficiency in Google Workspace and task and project management software
Nice to have
Familiarity with major recordkeeping platforms
Experience with payroll systems and payroll integration
Hands-on experience with ChatGPT, Claude, Copilot, or similar AI tools in day-to-day work
Pursuing or holding ASPPA Qualified 401(k) Specialist (QKS) or Qualified 401(k) Administrator (QKA)
Hiring process
This role includes an assessment to establish a baseline understanding of each candidate’s current skills. It is not pass/fail; it helps us assess plan knowledge and identify where training may be most useful.
What we offer
Compensation
The base salary range for this role is $70,000-$80,000, depending on experience, skills, and location. Total compensation also includes an annual bonus and equity.
