The Role:
The Administrative Assistant provides high-level administrative and operational support to Division Leadership and serves as a key resource in helping the division operate efficiently and effectively. This role requires a highly organized, proactive, and self-sufficient individual who can anticipate needs, manage competing priorities, exercise sound judgment, and work independently with limited direction.
The Administrative Assistant coordinates executive schedules, meetings, communications, projects, presentations, and other key activities while maintaining confidentiality and ensuring priorities and commitments stay on track.
Primary Responsibilities
- Provide high-level administrative support to Division Leadership, proactively managing competing priorities, anticipating needs, and determining when issues require escalation.
- Manage complex executive calendars and communications, resolving scheduling conflicts, identifying time-sensitive matters, and protecting executive time.
- Plan and coordinate leadership meetings, events, and team activities, including scheduling, travel, venues, catering, materials, and other logistics.
- Develop executive presentations, visual metric reporting, and other leadership materials, compiling information across departments to ensure clear and consistent communication.
- Coordinate projects, leadership onboarding, documents, data, and other divisional initiatives, tracking commitments and deadlines, maintaining organized resources, and partnering with stakeholders to keep work moving forward.
This is a hybrid position, coming into the El Segundo office 1x per week.

What You Bring to the Table:
Qualifications
- High school diploma or GED
- 3+ years of progressively responsible administrative or executive support experience, preferably supporting senior-level leaders
- Experience managing complex calendars, meetings, events, and competing priorities
- Experience developing polished presentations, reports, and executive-level materials
- Experience working independently with sensitive or confidential business information
Skills
- Executive organization, prioritization, and strong attention to detail
- Proactive problem solving, sound judgment, and follow-through
- Excellent written and verbal communication
- Microsoft Office, particularly PowerPoint, Word, and Excel
- Meeting and event coordination; Monday.com or similar project management platforms preferred
